The front desk cannot be in two places

Every practice has the same eight-thirty problem. The waiting room is filling, the phone is ringing, and the person at the desk has to choose between the patient standing in front of them and the one calling. Whichever they choose, the other waits.

The calls that get lost in that window are rarely trivial. They are appointment requests, cancellations that could have been refilled, and new patients ringing three practices to see who answers. A cancellation that goes to voicemail is a slot that stays empty and a patient who could have taken it.

Out of hours the same calls simply do not happen. The patient calls someone else, or waits, or ends up somewhere more expensive than your practice for a problem you could have handled.

What it handles, and what it hands over

Anything clinical goes to a person. It does not triage symptoms, advise on medication, or make judgements about urgency, and it is built to escalate rather than guess. Where a call needs a nurse or a doctor, the handoff is the whole point.

Filling cancellations is where practices usually see the clearest return. A cancelled slot can trigger outreach to a waiting list immediately, at any hour, rather than waiting for someone to work down a list between patients.

Handling patient information properly

Patient data has obligations attached, and the honest position is that this needs configuring per practice rather than claiming a blanket certification. Data is encrypted in transit and at rest, and what the agent is permitted to collect, store, and repeat back is defined during the build.

For practices operating under HIPAA, that scoping happens before anything goes live: what the agent may collect, what it may repeat back, what it must never store, and whether a Business Associate Agreement is required for the way you intend to use it. Those are questions to settle with us and your own counsel, not a box a vendor ticks. If someone tells you their agent is HIPAA compliant out of the box with no configuration, ask them what they mean by it.

How is patient consent handled for texts and reminders?

Consent is captured before the agent messages anyone, and opt-outs are processed automatically and suppress the contact from further messaging. US patient texting sits under the TCPA in addition to HIPAA, which is why consent is part of the intake flow rather than an afterthought, and why A2P 10DLC registration is included in the build rather than left to you.

Does it triage symptoms?

No. It handles scheduling, practice information, and new-patient intake, and escalates anything clinical to a person. Symptom triage is a clinical judgement and stays with clinicians.

Is it HIPAA compliant?

Compliance is a property of how a system is configured and operated, not a feature that ships switched on, so the honest answer is that we scope it with you before go-live: what the agent may collect, what it may repeat back, where that data goes, and whether a Business Associate Agreement applies to your setup. We will tell you plainly what the agent does and does not do so you and your counsel can assess it. Any vendor claiming blanket HIPAA compliance for a conversational agent without asking about your workflow is overselling.
